Contracts Administrator


Contract Type: Inside IR35
Work Arrangement: 100% site-based (no hybrid option)
Contract Duration: 8 months+
Hours Per Week: 37.5

Role Summary:
We are seeking a proactive and experienced Contracts Administrator to join our clients maintenance department at Fawley Refinery. The successful candidate will be responsible for the stewardship and administration of vendor contracts and orders, ensuring seamless goods/service delivery and compliance with company controls.
Key Responsibilities:

  • Administer vendor contracts/orders to guarantee uninterrupted delivery and compliance.
  • Research and analyze contracts, providing recommendations on various issues.
  • Monitor and manage contract expiration dates.
  • Liaise daily with Contractor Representatives to resolve purchase order and invoice issues.
  • Generate contract status reports for management review.
  • Ensure effective contract administration, records management, and compliance with procurement and business requirements.
  • Support Accounts Payable and coordinate with field personnel for Contractor performance evaluations.
  • Collaborate with Contract Advisor and Representatives to enhance contract performance and efficiency.
  • Work closely with Procurement on contract renewal, award, resolutions, and follow-up actions.


Skills and Qualifications:

  • Proficiency in Microsoft Excel and other analysis tools.
  • Experience in a large corporation or complex organizational setting.
  • Engagement experience with contractors, particularly in a developing country environment.
  • Familiarity with SAP or similar computerized maintenance management tools.
  • Strong understanding of business and ethics compliance, controls, reporting, and local commercial environments.
  • Ability to integrate security and community objectives into contracting plans.
  • Budgetary reporting and analysis skills.
  • Excellent written and oral communication skills in English.
  • Understanding of Maintenance and Reliability processes and Procurement roles related to contracts.
  • Knowledge of contract terms and conditions.
  • High standard of Safety, Health, Environment aptitude.
  • Strong observation, listening, interpersonal, motivation, and organizational skills.
  • Ability to work independently and interact effectively in a multi-cultural environment.
