Our client, a leading supplier of products to the Aerospace industry, have a fantastic opportunity for a Purchasing Administrator to join their Indirect Procurement team based out of their site in Hamble, near Southampton.

The Job

Role Summary

This role will support the Indirect Purchasing team by undertaking varied administrative tasks. This role will support the Indirect Buyers and Cost Out teams to ensure that goods and services are purchased from suppliers at the best value from suppliers. This role would offer an excellent opportunity for a strong administrator looking to expand their skills and experience.


Role Specific Duties

Will include but is not limited to:

  • Converting Purchase Requisitions into Purchase Orders (POs) using correct cost & item codes
  • Expediting the approval process where needed
  • Issue POs and follow up with suppliers, as required, to ensure items are delivered on time
  • Follow up lead-time issues with suppliers, including delays or additional costs, whilst updating ERP system with latest information
  • Lead all invoicing/payment queries with the relevant department to ensure services are receipted on time and able to be processed for payment by finance team
  • Monitoring POs & Requisitions through the ERP system lifecycle to include draft / cancelled / denied status updates with relevant departments
  • Work with internal customers, stakeholders and finance team to raise new suppliers in line with compliance regulations
  • Develop into a ERP system power-user
  • Compile reports on supplier spend analysis / overdue POs / etc as required to support buyers
  • Assist on pricing tenders for new suppliers/purchases
  • Support on RFQs for consumables pricing
  • Update and maintain departmental work instructions
  • Provide occasional holiday cover for Buyers


Candidate Requirements

Essential

  • Good attention to detail
  • Strong administrative background
  • Methodical with strong time management and prioritisation skills
  • Good level of MS Excel (able to use pivot tables and formula (such as Lookup).
  • Also proficient in MS Word
  • Able to communicate and build good working relationships with internal and external stakeholders

Desirable

  • Experience within a similar role or manufacturing industry


Security Clearance

Baseline Personnel Security Standard (BPSS) clearance is required and must be maintained for this role. Please note that in the event that BPSS clearance cannot be obtained, you may not be eligible for the role and/or any offer of employment may be withdrawn on grounds of national security.
