Key Responsibilities:
- Ensure timely distribution of documents & drawings to project personnel.
- Adhere to company procedures & guidelines.
- Distribute drawing transmittals and submittals to clients.
- Receive and quality check all transmitted drawings and documents from lead consultants.
- Manage the return of quarantined documents for correction and re-issue.
- Oversee the document control software system and provide training to users.
- Maintain controlled document registers and related documentation.
- Generate reports for PM, Client, BI.
- Handle general administration tasks.
- Perform data entry on SAP, run SAP reports and queries.
- Collaborate with Safety Manager and Client.
- Update organizational charts regularly.
- Manage office stock, handle printing requests, assist expats with paperwork, and approve invoice payments.
- Undertake all other duties associated with the role.
Essential Qualifications:
- Proven administration experience.
- Fluency in both Spanish and English.
- Proficiency in Microsoft Word, Excel, Outlook.
- Ability to manage site paperwork effectively.
- Excellent telephone etiquette.
- Keen attention to detail.
- Ability to multitask and thrive under pressure.
- Strong interpersonal and organizational skills.
- Commitment to quality and presentation of work.
- Outstanding communication skills.
Desirable Skills:
- Prior experience in the construction or engineering industry (not mandatory).
- Familiarity with SAP (training will be provided if needed).
