Job description

This role involves supporting high-profile marine interior outfitting projects from initiation to completion. You will provide comprehensive administrative assistance, including purchasing, resource planning, logistics, and warehouse operations. The role necessitates significant on-site work in shipyards and on vessels globally, assisting Project Managers and cross-functional teams to ensure smooth project execution.

Key Responsibilities:

  • Source materials and raise a high volume of purchase orders using the in-house procedure
  • Chase deliveries and keep stakeholders informed
  • Monitor and update systems with correct pricing, documentation, and data input
  • Book labour, travel, and accommodation for projects and the business
  • Communicate with Polish and other European speaking resources and companies
  • Coordinate on-site labour to ensure smooth project operations
  • Provide general administrative support during pre-planning, site implementation, and project close-down
  • Attend and contribute to project and department progress meetings
  • Plan and generate project shipments, including commercial invoices and vehicle planning
  • Provide cover for the wider Project Support team during holidays, sickness, and peak periods

Job Requirements:

  • Attention to detail with strong planning, time management, and prioritisation skills
  • Experience in using IT systems, including Microsoft Office, Outlook, Teams, and Zoom
  • Willingness to learn and improve continuously
  • Ability to work in a highly pressurised environment during peak times
  • Ability to build relationships at all levels and with external contacts

Minimum Required Education and Experience:

  • Experience in an administrative role or project management environment, or a combination of both
  • Ability to work away from home on average 25% of the year
  • Experience working in a site or construction site environment is ideal but not essential
  • Proficiency in Polish or another European language is an added bonus

Salary:

£30,000 increasing ater probation as well as uplift when working away
