BAE Systems require an Executive Assistant to join their team on a 12 month contract in Telford, Shropshire.
The role of the Executive Assistant (EA) is to provide full administrative and secretarial support to the Managing Director and other members of the leadership team, assisting in the provision of complex diary management, travel co-ordination and administration of a high volume of emails & paperwork ensuring deadlines are met. The Executive Assistant completes operational and administrative duties, ensuring timely completion and compliance with established internal standards.
The EA handles daily calls and inquiries of the Managing Director and leadership team and responds independently to routine issues and questions. This role serves as a liaison with others within and outside the company handling activities such as event planning, travel arrangements and project follow up.
Receive and screen phone calls and electronic communications
Organising travel and preparing complex travel itineraries
Booking rooms and catering for a range of events and takes responsibility for preparing rooms and setting out catering. Ensure meetings are properly resources in terms of facilities, equipment and administrative support
Assisting with the preparation of a variety of documents, to include compiling PowerPoint decks to a high standard
Dealing with day-to-day queries as necessary in a professional manner, forwarding queries on to the relevant party if needed
Ensuring that company policies and procedures are adhered to
Writing reports, executive summaries, meeting minutes and preparing presentations
Ensure that business travel mileage is calculated and recorded appropriately to support expense claims
Act as a liaison and knowledgeable resource for clients and other external contacts
Maintain effective professional relationships with vendors and business contacts
Complete time sheets and process personal expense reports
Manage other special assignments as needed
Ability to undertake travel as required
Undertake other Ad Hoc administration duties as directed by the Managing Director
Ability to interpret and understand RBSL including Rheinmetall Defence and BAE Systems, policies and rules;
High level communication and influencing skills
The ability to lead discussions and negotiate complex commercial outcomes when required
At least 2-5 years of professional experience supporting an executive
Ability to Multi-task
Discreet and maintain confidentiality at all times
Experienced in a broad range of office procedures and processes
Experience of working in a global company with multiple sites is desirable
IT literate particularly around MS Outlook, Word, Excel and PowerPoint, and capability with other technology platforms
Ability to work to tight timelines and able to produce high quality work whilst under pressure
Strong organization skills with the ability to prioritize and manage several different workstreams at once without close supervision
Proactive in approach, thinks ahead and anticipates and deals with issues without being prompted
Numerate with a strong attention to detail, sets high standards for own wor
Good communication skills, both written and verbal.
