We are seeking a meticulously organised and proactive Document Controller to join our team on a major, high-profile data centre construction project right here in Finland.
This is a critical, site-based role that ensures the entire operation runs smoothly. You won't just file paperwork; you will be the core custodian of all project knowledge, managing the flow of crucial information that underpins the construction and commissioning of one of Europe's most advanced facilities.
🚨 Non-Negotiable Requirement: On-Site in Helsinki 🚨
This is a 100% on-site, full-time role based at our project location in Helsinki, Uusimaa.
Candidates must be based local to the Helsinki metropolitan area and available to work on-site daily. Due to the high-security and fast-paced nature of the construction environment, we cannot consider applications from fully remote workers or those requiring relocation assistance. Only applicants who are prepared to commence work immediately on-site in Helsinki will be reviewed.
Your Key Responsibilities (The Core of the Role)
Information Governance: Act as the gatekeeper, ensuring all project documentation (including drawings, contracts, specifications, and reports) adheres scrupulously to company standards and our Integrated Management System (IMS).
Version Control Mastery: Maintain absolute accuracy in document storage and version control, guaranteeing that all teams and external partners are always working with the latest, correct information.
Flow and Distribution: Efficiently distribute and track documents, ensuring every relevant stakeholder-from engineers to management-receives critical information promptly.
Reporting & Analysis: Proactively maintain and update vital project registers (Document Register, RFI Log, Action Log). Take it a step further by analysing this data, summarising trends, and generating reports to highlight overdue actions or potential bottlenecks.
Compliance Liaison: Collaborate effectively with external consultants and contractors, holding them accountable for the timely and compliant submission of their documentation.
Quality Support: Provide essential documentation support for Quality Assurance (QA), Quality Control (QC), and Health & Safety (HSE) initiatives, assisting with site audits and compliance checks.
What You Bring (Your Essential Toolkit)
A minimum of 2 years' demonstrable experience in a similar site-based Document Controller role, ideally within construction or engineering.
Exceptional command of verbal and written English is absolutely essential for cross-functional communication.
First-class organisational skills, attention to detail, and a confident, professional approach to interpersonal communication.
High proficiency in IT skills, particularly the Microsoft Office Suite.
Prior experience with knowledge-sharing applications or Electronic Document Management Systems (EDMS) is a distinct advantage.
