Job Purpose

To lead and deliver the organisation's migration to the NHS.net Connect (NHSmail shared tenant / N365), including Exchange Online, OneDrive, SharePoint, Intune and Microsoft Teams, ensuring a secure, compliant and user-centred transition. The post holder will manage all aspects of the project lifecycle, including planning, governance, risk, stakeholder engagement and technical coordination, ensuring delivery to agreed time, cost, quality and scope.

Essential Desirable

* Degree-level qualification or equivalent experience

in IT/Digital delivery * ITIL Foundation (or equivalent service management experience)

* Recognised project management qualification (e.g.,

PRINCE2/AgilePM/MSP/PMP) or demonstrable

equivalent experience * Microsoft 365 / Azure certification(s)

Experience

Essential Desirable

* Proven delivery of complex technical projects in a

large/complex organisation * Delivery experience of Microsoft 365 migrations (Exchange, OneDrive, SharePoint, Teams)

* Experience managing multiple workstreams and

dependencies with structured governance and

reporting * Experience of migrations into shared-tenant or regulated environments (e.g., NHS shared tenant/N365)

* Demonstrable stakeholder management across

technical and non-technical audiences * Experience delivering user adoption/change activities alongside technical migrations

* Experience working with third parties/suppliers to

defined deliverables

5. Principal Duties and Responsibilities

A) Project Delivery and Governance

· Develop and maintain Project Initiation Document (PID), project plan, milestones, deliverables and governance structures.

· Establish and run project boards and working groups; ensure decisions, actions and tolerances are tracked and managed.

· Manage RAID log, change control, dependencies, quality gates and acceptance criteria.

· Produce clear and timely reports (highlight reports, dashboards, exception reports) and escalate risks/issues appropriately.

B) Technical Migration Delivery (Exchange, OneDrive, SharePoint, Teams)

· Lead discovery and readiness: identity and access alignment, endpoint readiness, network/security prerequisites, and technical dependencies.

· Define migration approach (pilot, phased rollout, cutover, hypercare) with clear success measures and go/no-go criteria.

· Coordinate workload migrations: mailbox moves/coexistence planning; OneDrive personal data migration; SharePoint information architecture and site migrations; Teams collaboration structures and governance.

· Develop runbooks and cutover plans including rollback/contingency, out-of-hours change windows, monitoring and post-cutover validation.

· Coordinate provisioning and permissions approach, recognising shared-tenant constraints (e.g., site/OneDrive provisioning and permissions mapping considerations).

C) Security, Information Governance and Assurance

· Work with Cyber Security and IG to ensure appropriate security controls, access models and data protection requirements are met prior to go-live.

· Ensure delivery of assurance artefacts (risk assessments, DPIA where required, change approvals, technical design notes, evidence packs) to support go/no-go decisions.

· Ensure migration activity is planned and executed in line with organisational change control and clinical safety processes where applicable.

D) Stakeholder Engagement, Communications and Adoption

· Develop and deliver stakeholder engagement and communications plans, including end-user readiness, FAQs and service impacts.

· Translate technical risks and decisions into clear, actionable messages for non-technical audiences.

· Coordinate training and adoption for OneDrive, SharePoint and Teams, ensuring Service Desk readiness and knowledge transfer.

E) Service Transition and Benefits Realisation

· Lead transition into BAU: operational acceptance criteria, updated SOPs, support model, monitoring and ownership.

· Define, track and report benefits and outcomes (service continuity, collaboration capability, risk reduction, decommission of legacy services where in scope).

· Complete post-implementation review and ensure lessons learned are captured and embedded.
