Job description


This position will be responsible for ensuring that all project documentation is up to date, available and easily accessible by the Project Team. They will also be responsible for keeping various trackers and documents up to date and compile the Handover Documentation (H&S Files).


DUTIES & RESPONSIBILITIES:

  • Receives and conducts a full quality check of all drawings and documents transmitted by the Consultants and Subcontractors
  • Manages the document control software system ensuring that all parties receive adequate training to enable them to use the system
  • Maintains controlled document registers and associated documentation
  • Checks for accuracy and edit a variety of files
  • Distributes project-related copies to internal team
  • Files documents in physical and digital records
  • Maintains a professional image for the company in all dealings with public and stakeholders
  • Working in accordance with company procedures & guidelines
  • Distribution of drawing transmittals and submittals to client
  • Developing and maintaining filing systems
  • General Administration including typing, printing, attending and recording meeting minutes
  • Act as a vocal point of contact for the office
  • Assist with HSE administration via Active (HSEQ portal)


EXPERIENCE & QUALIFICATIONS:

  • Experience with Document Management Systems including management of controlled documentation issuance and document archive activities
  • Experience with CEMAR, SAP and or PIMMS is preferable
  • Ability to work independently and effectively in a fast-paced environment delivering to a high-quality standard
  • Demonstrated knowledge of Quality Management Systems tools, continuous improvement methodologies and in-depth understanding of site processes
  • Experience in the construction and/or engineering industry
  • PC literate with competency in Microsoft Word, Excel, Outlook (Desirable)
  • NVQ Level 2 in Business & Administration (Desirable)
  • MS Office 2016 (Word, Excel, Outlook) (Desirable)
  • Previous working with an engineering or construction company (Desirable)
