Project Assistant (Type 26)
Project Assistant - Bristol - 6 Months - £15.04p/hr Ltd/Umbrella. PAYE Rates available on request.
Manage the secretarial and office activities of an ongoing Project.
NVQ Level 3 in Business and Administration or equivalent.
Key Technical Skills
IT - MS Office incl Word, Excel, Powerpoint & Microsoft Project. Shared Data Environment incl recording and management, Windchill.
Key Leadership/People Mgmt Skills
Manage office/stationery supplies as necessary to maintain office facilities
Effective liaison with PO staff including arranging meetings, travel bookings etc
Key Interpersonal/Behavioural Skills
Effective communication skills - ability to transfer key messages in the most effective way. Communicating appropriately at all levels internal and external to the business.
Working effectively and openly with the MoD partner on administrative and secretarial matters.
Courtesy and cooperation in arranging events including PR, Comms & jointly with the Customer.
Ability to be discrete and diplomatic

Focus on order and Problem solving - Ability to determine the most practical and expedient course of action for matters relating to the smooth running of the PO and key events.
Flexibility - Ability to adapt to changing priorities for collective effort in the PO, often at short notice.

Ability to produce and maintain documents / reports / presentations in a suitable & professional manner
Ability to plan & organise across multiple organisations & sites.
Major Tasks and Activities:
Establishing and undertaking the PO office administrative and secretarial duties including time & attendance, expenses, booking travel, preparing correspondence, handling & recording telephone messages etc. to the required deadlines as required.
Construct and maintain a central, configuration controlled knowledge hub for including all formal and internal documentation (using the Portal & Windchill). This includes accurately inputting / cleansing data and carrying out predetermined information / data analysis in order that others can use for decision-making.
Own the PO calendar and act as the PO focal point for both internal & external personnel for arranging senior meetings and reviews including collating notes & actions as required. This is to include proficient coordination & prioritisation of appropriate diaries and liaison with external contacts.
Maintain the current Communications material including the SDE and act as co-ordinator for communications output. This is to include selecting, interpreting and accurately communicating information tailoring to the appropriate audience ensuring discretion & diplomacy. Note: Due oversight provided by the Head of Programmes.
Prepare electronic documents including reports and presentation material.
Maintain the Programme action database.
Be the 'Host' for new starts joining the team or those visiting including arranging passes, booking them in and ensuring they have everything they need from an admin point of view to undertake their task including liaising with Facilities Manager where necessary to ensure they have a desk.
NVQ Level 3 in Business and Administration (or equivalent)
Short Hand (preferable)
European Computer Driving Licence (ECDL)
Role will be focussed on supporting the technical team, therefore a good technical / engineering understanding is highly desirable
